Front Desk & Office Coordinator

Key Responsibilities

Reception & Visitor Services

  • Open and maintain the front desk during standard business hours.
  • Welcome visitors, clients, and vendors, ensuring a professional and positive experience.
  • Serve as a primary point of contact for guests and office inquiries.
  • Answer and direct incoming phone calls to appropriate team members.
  • Manage shared meeting rooms and office space reservations.
  • Coordinate meeting logistics, including catering and visitor accommodations.
  • Monitor and maintain reception and common areas to ensure a professional office environment.
  • Respond to facility-related requests and general office inquiries via email and phone.

Administrative Support

  • Provide administrative assistance to team members, including calendar management, travel arrangements, meeting coordination, and expense reporting.
  • Assist with document preparation, presentation materials, and meeting packets.
  • Support registration and logistics for industry conferences, training programs, and professional events.
  • Perform additional administrative and operational duties as assigned.

Qualifications

Education

  • Bachelor's degree preferred, or equivalent combination of education and relevant work experience.

Experience

  • Minimum of 1-2 years of experience in an administrative, office coordination, or front desk role, preferably within a professional business environment.

Skills & Competencies

  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong communication skills, both written and verbal.
  • Professional and customer-focused approach to service.
  • Excellent phone etiquette and interpersonal skills.
  • Strong organizational abilities with exceptional attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Adaptable to changing priorities, processes, and business needs.
  • Collaborative team player with the ability to build positive working relationships across diverse groups.
  • Experience with travel and expense management software is beneficial.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.

Monday to Friday 8 am to 5 pm
